Visit Broken Arrow Grant Information

The goal of the Visit Broken Arrow Grant is to assist events that Visit Broken Arrow believes have the potential to grow substantially and generate overnight lodging accommodations in Broken Arrow. Visit Broken Arrow has grant funding available that has been earmarked for the marketing of events exhibiting positive tourism potential to the Broken Arrow area. Please note that the Visit Broken Arrow grant will not be the sole source of funding for any event. It is expected that the event organizer has also secured additional funding for the event.  A minimum of ten (10) overnight accommodations in Broken Arrow is required per $500 of grant funding requested.  All approved grants are provided on a reimbursable basis, once the required follow-up report and accompanying documents have been received.

Grant Application and Guidelines

**Please also submit a completed W9 Form and detailed event budget with your grant application.

The Post Event Summary Form is due no later than 60 days after the final day of your event. Failure to submit this summary on time will jeopardize your organization’s ability to receive future Visit Broken Arrow grants and receive reimbursement. It is the event organizer’s responsibility to adhere to the application and post-event summary deadlines. No reminders will be sent!

Visitor Packets

Visit Broken Arrow will be happy to provide visitor packets for your reunions, conferences, meetings, and special events. Visit Broken Arrow will provide you with appropriate quantities of materials on shopping, dining, attractions, and more for your guests. For quantities over 100, please allow extra time.

Visit Broken Arrow FAQs

Visit Broken Arrow is a convention and visitor bureau.  These are not-for-profit organizations charged with representing a specific destination and helping the long-term development of communities through a travel and tourism strategy. Convention and visitor bureaus are usually membership organizations bringing together businesses that rely on tourism and meetings for revenue.

For visitors, convention and visitor bureaus are like a key to the city. As an unbiased resource, they can serve as a broker or an official point of contact for convention and meeting planners, tour operators and visitors. They assist planners with meeting preparation and encourage business travelers and visitors alike to visit local historic, cultural and recreational sites.

💸 Most services provided by Visit Broken Arrow cost nothing.

Travel and tourism enhances the quality of life for a local community by providing jobs, bringing in tax dollars for improvement of services and infrastructure, and attracting facilities like restaurants, shops, festivals, and cultural and sporting venues that cater to both visitors and locals.

For most services, Visit Broken Arrow does not charge clients — the visitor, the business traveler, and the meeting planner. Instead, we are funded through hotel occupancy tax.

Visit Broken Arrow keeps track of room counts, as well as other meetings coming to the area. In this way, we can help planners avoid conflicts with other events. Moreover, Visit Broken Arrow has first-hand familiarity with the hotels and with meeting space in the area, they can help planners match properties to specific meeting requirements and budgets.

Attention!

Beginning January 1, 2025, the Visit Broken Arrow grant guidelines will update. The following changes will be made:
  • The grant will be renamed to the Visit Broken Arrow Rebate program
  • Events must generate a minimum of twelve (12) room nights for every $500 of funding requested
  • The amount of the rebate may be reduced each successive year to reflect the goal of encouraging each participant to find additional sponsorships
  • If funding is approved by the VBA, a Post Event Summary Report and Presentation to the VBA including all required documents is required to receive the funding
  • A representative from the applying party must be available to present the Application and Post-Event Summary
  • Events that apply after 3/12/2024 and take place during 2025 will have to follow these new guidelines
